Minutes from April 14, 2007
President Bill brought the meeting to order Connie presents minutes from the previous meeting. Rhonda moves to accept, Judy 2nds, motion passed. Jacci presents the Treasurers report. Judy move, John 2nds, motion passed. Committee discussionDarren brought up discussion on the trip to Portland. Portland club members enjoyed having our representative's participation at the dance. Portland club members expressed interest in coming up to see one of your club's dances. Darren and Jacci will aslo go to check out a new club, the Swing Set, in May. Bill brought up discussion to get a join picnic/dance with Puget Sound group in June. Discussion on how to pay for Bob's services will be tabled until next meeting. Bill brought up discussion on how to control and maintain membership logs. John went through new membership cards, the use of dots instead of punches on cards. Members cards will be laminated. New members (temp card) will be unlaminated. Bob moves if old members return after several months and/or years inactivity will be made active after attending a dance. Judy 2nds, motion passed. John disagrees with motion as stated. Bill asks board members if anyone uses the board site of Sntiz 2004 version on the website. Major consensus is that it is inaccessible. Bill asks John to move the Minutes to the top of the website. John agrees to move the minutes. Judy announces the theme of the next dance is Animal Instincts. Jacci is the host and Rhonda is in charge of food. Judy will also be reorganizing the decorations into separate containers. Bill brought up conduct at dances. This is an off premise affair. We cannot condone and cannot have sexual contact on premises. Bill brought up discussion on Campout and asked Tony for the update. Tony spoke of the cups will be ordered soon and will have Club's logo. Also discussed the wristbands and asked for suggestions for themes for the dances. One suggestion was Snowflake Ball and the last dance will be the New Year's Eve Bash. Tony states that he still has campsites open. Tony would like to have rules for Campout be signed at sign in registration. Tony will still want to have packets with rules, activity chart, etc. Tuesday night there will be a Body Bingo. Bill suggest that a 6:45 PM will have a special meeting to finish discussion on Campout. Bob and Carol announce they will be tending their resignation from the Board. Bob will continue being the Club's DJ for dances and Campout. Bob moves to recess until next dance. Tony 2nds, motion passed. President bill calls meeting to order continuing from recess from last meeting on April 14th. Bill suggests a task for all Board members to tink about what capital improvements are needed for Campout to bring in more couples for future Campouts. Tony will be looking at another septic removal service due to unsatisfactory service at last Campout. Bill also suggests getting a 55-gallon dump tank. Tony asks every to think of themes for the four dances at Campout. Judy suggests the 12 Days of Christmas. Tony discusses the commemorative cups for campout. He suggests ordering 250 to 300 cups with club logo and Campout 2007 printed. Each camper will receive one when signing in. Tony will be getting together with Wayne to discuss the food budget. So far, Tony suggests 2 dinners and a Saturday lunch. Also, suggests a sandwich lunch for the crew installing the dance floor. Bill and Judy will be having a Barbeque on Tuesday. Dances are going to be Wednesday, Thursday, Friday and Saturday nights. Carl and Linda will run the First Aid station and the backups will be Jeff and Connie. Bill recommends that this year's Palmeroy Lifetime Achievement Award go to Roy and Pam. John and Annette will be in charge of engravings for the award and the main plaque. Board members will present the reward at Saturday's dance. The budget for games and prizes for Campout will be $500.00. Petty cash will be $500.00 and the charge for a lost band will be $5.00. Jim and Marcy will be receiving a free Campout for janitorial services of the bath/showers during Campout. Bill mentions the long distance award will be going to a surprise couple. Tony states that people who have not paid or partially paid for Campout will be allowed in only after balance due has been paid. Campout prices for a full week (7/23-7/29) before June 15 is $200.00, after June 15th, $220.00. Thursday to Sunday (7/26-7/29) before June 15th is $140.00, after June 15th is $160.00. Bill has advertised on SLS that Campout is is limited to 200 people. Judy has spoken to John in reference to the portable shower trailer and was told everything is going great.
