Original Circles Board of Directors meeting 06/13/2009

Meeting called to order by Jimmy 

Board Members present: Jimmy, Michelle, Bob, Candace, Tina, Steve, Jacci, Shannon, Liz, Carol

Club members present: Darren, Doug, Randy, Shane

Minutes from May were accepted

Jacci presented May financial report.

Out of the nine dances so far this year we have lost money on four. The average loss is about $100.00 per dance. There have been about $5000.00 in checks that have come in this week for camp-out and have been deposited,

Jimmy made a motion that we accept the financial report Bob seconded it. The financial report has been accepted.

Campout.- There have been many emails that have come in and have been responded to. Randy and Darren a walk through and clean up of the campground is underway. The roof for the dance trailer has not been taken care of. If anyone has anything for the welcome packet it has to get to Darren by the 9^th of July. Michelle and Kim have been very busy with the games and have been keeping Darren informed on the progress.

Darren is looking for any one who would like to help on the workshops and the research that is needed for them. Liz volunteered to help on it.

There is a need for a vehicle to help get the gifts up to campout. There are going to be more guy and gal gifts this year instead of just gal or neutral gifts. Bob stated that he would be able to help with getting gifts and such to campout.

John and Jodi are taking the big shower trailer up on Monday.

When you are on security you need to look for kids coming through the woods. We are going to be setting up motion lights in the field area.

So far there are 95 couples paid and coming to campout.

Michelle has ordered the award for campout.

Tina volunteered her counseling services if needed.

Jimmy stated that he is worried about the trailer and the outcome of the work done on it.

Dan has stated that he has it all taken care of.

Bob stated he feels if it is not completed in three weeks from this meeting than we cant take it but if it is done than we take it.

There is question is to whether we can put a semi-permanent structure at the campground.

It was decided that we table it for the time being.

Bob made a motion that we continue to use the 28 foot trailer for this year Michelle seconded it and all was in favor.

John will be coming up for Friday and Saturday, they have the griddle and tent and will be willing to set up.

John has also cancelled the web site. They have stated that they will transfer there deposit for this year to next year.  Wayne has stated that he will be willing to take over for John at campout.

Michelle motioned that we change the board meetings to 6;30 in Aug versa the 6:00 time now since we are on summer hours. It was Seconded by Candy all were in favor and none opposed.

Bob motioned to adjourn and Candy seconded it.
