Original Circles Board of Directors meeting 03/14/2009

Meeting called to order by Jimmy

Board Members present:

Minutes from February were accepted

Jacci presented February financial report. It was accepted

Finances/Budget: Bob asked about the budget for campout. Jacci is working on it. She said that the price for the week is the same as it was for 2008.

Dance Themes: It was discussed last meeting that the host of a dance would come up with the theme. The remaining dances were hosted and themes were created for them. There still are two dances that need co-host. 8-22 and 9-12, but all of the rest have been covered and terry is posting them to the web. sight.  Liz brought in a list of dance themes and was a big help in this area.

Bob suggested that board members help out at the desk more. Give breaks etc.  Jimmy suggested that the person doing food should help out at the desk also.

Campout: Darren is ordering shot glasses for the campout. They are blue double shot size with white or silver lettering depending cost.  Dan presented an itemized materials list for the rebuilding of the campout stage trailer. With a total of $641.00. Darren has a home depot donation slip and may be able to help with some of that.  Dan wants to have a work party on a Saturday to do the work of rebuilding it. Dan has made a security list for Campout. It is as follows Monday: Dan and Lori, Tuesday: Jimmy and Michelle, Wednesday: Bob and Carol, Thursday: Jacci, Darren, Candi and randy, Friday: Shannon, Shane, Tina and Steve, Saturday: all the board

New Business

Steve would like to see more of the board members mingle better at dances and make a better effort to welcome new members in. To help folks feel comfortable so they will return. Bob suggested that sitting with new folks or inviting them to sit with us would be a good way to help in this area.

Jimmy wants to have contact cards made up for the new board.

Terry updated the website. He added a password to one area it is available if anyone needs it.

It was noted that the hall has a new stove and that folks get with Jimmy or Jacci before using it, for safe use. It was also mentioned that the hall needs to be cleaned better after dances.

Tina offered to be on a welcome committee. To check with new members see how their first dance went. It was discussed that the personal information of members is only privy to 3 board members as per the by laws. No decision was made.

It was discussed that that due to usual lack of attendance and the holiday weekend that the Memorial Day dance be cancelled. Michelle made a motion to cancel and it passed.
